The useful test is: Will this help an authorized person or AI understand what the work is, what changed, why it matters, and what should happen next?

Keep detailed delivery work in its delivery system

Use Jira, Asana, Linear, or the appropriate project system for:

  • subtasks and ticket workflow;

  • sprint mechanics and backlog grooming;

  • technical implementation detail;

  • estimates, capacity, and delivery automation specific to that system.

An Action Item can retain the accountable commitment and why it matters while the delivery system holds the implementation detail.

Keep source documents where they are governed

You can add selected documents to a Workspace without migrating every file. Keep the authoritative source in the system that owns its lifecycle when retention, approval, or collaboration depends on that system.

Use a maintained Workspace page when the team needs a current, readable synthesis of several sources. Link or retain the underlying evidence so a reader can verify important claims.

Keep conversational traffic in communication tools

Slack and Microsoft Teams remain appropriate for quick coordination and discussion. When either service is connected and conversation access is allowed, In Parallel can use authorized conversations as source context and detect signals according to the Workspace's observation kinds, just as it does with meetings.

Keep the conversation in its communication tool. Use In Parallel to maintain the consequential context when the conversation produces a decision, commitment, risk, customer need, ownership change, or durable learning.

Avoid these failure modes

  • One Workspace called “Everything”.

  • Copying every ticket into In Parallel.

  • Treating a Chat answer as an approved decision.

  • Replacing source evidence with an unsupported summary.

  • Adding sensitive material without checking Workspace membership and tool permissions.

  • Maintaining the same narrative manually in several places.
