Prepare and share a pre-meeting agenda
Before a routine meeting, In Parallel can prompt you to draft an agenda and send it to participants in advance — using an AI chat to help you prepare.
Before you start
The meeting must be a routine meeting connected to an Execution Scope.
The pre-meeting brief must be enabled in the routine settings — this controls when the reminder is sent and which agenda template to use. If you're not sure whether it's enabled, check the routine configuration or ask your In Parallel admin.
Only the meeting owner receives the preparation reminder.
Prepare and share a pre-meeting agenda
When a pre-meeting brief is due, In Parallel sends you a reminder. Acting on it opens an AI chat where you can review and refine a draft agenda before sending it to participants.
1. Open the preparation reminder
You will receive an email from In Parallel ([email protected]) with the subject "Prepare for your upcoming meeting: [meeting name]". Click Share agenda → to open the AI chat in In Parallel.
You can also start from inside In Parallel: the same action appears in your Personal Dashboard under Tasks → Due Today as "[Meeting name] • Prepare for the meeting". Click the task to open the chat.
2. Review and refine the agenda
The AI chat opens with a starting agenda based on the routine template. The template draws on the scope's Execution Memory and typically covers: meeting context, what's changed since the last session, open items, any drift flags, a suggested agenda, and attendee context. The template is a starting point — the agenda is yours to define. Read through it and adjust it to reflect what actually matters for this meeting and this Execution Scope.
Use the Ask anything prompt bar to instruct the AI: revise a section, change the framing, add a topic, or remove items that don't apply. You can also edit the agenda directly. The agenda panel on the right reflects the current state as you work.
3. Preview and send the agenda email
When you're ready, open the email preview. This shows exactly what participants will receive: the subject line and the full agenda content.
If the preview shows the message "Complete an action in the chat area first", return to the chat and send at least one message before proceeding — this confirms you've reviewed the draft.
Click Send email →. Participants receive the agenda in their inbox. The email is sent from [email protected] with the subject "Ahead of [meeting name] – what we'll focus on".
