Troubleshooting: Action Items

Solutions for missing owners, cluttered Action Items, due dates, and completed work.

Written by Topi Järvinen

An Action Item has no owner

Open the Finding and select Add owner. Assign one accountable person. “We” or “the team” is not a usable owner.

If ownership is genuinely undecided, keep that uncertainty visible and resolve it in the relevant meeting rather than assigning someone by assumption.

An Action Item is too vague to close

Edit the title and description so the completion condition is clear. Split work that is too broad for one owner into distinct commitments in the delivery system that manages the detailed work.

The list is cluttered

  • Mark completed items done.

  • Update items whose state has changed.

  • Close or archive work that is no longer relevant when that control is available.

  • Keep implementation subtasks in Jira, Asana, Linear, or the appropriate delivery tool.

  • Use Topics, goals, Workspaces, and due dates to keep important context attached.

I cannot find an expected Action Item

  1. Open the correct Workspace and select Findings → Action Items.

  2. Change the time range if the item is older.

  3. Expand Done if it may already be complete.

  4. Check the source meeting's Notes and Actions.

  5. Confirm that the item was associated with the correct Workspace.

A meeting Action and an Action Item Finding are different. A prepared follow-up under a meeting's Actions tab does not automatically become an Action Item.

The owner or due date is wrong

Open the Finding and update the owner or due date in its properties. Add a status update when the change needs explanation. Do not rewrite the original context quote to describe later events.

Home mentions overdue or unowned work that looks wrong

Follow the source link from the Daily Briefing to the underlying Finding. Correct the Finding's owner, due date, state, or Workspace association. The next briefing can then use the updated record.

Still stuck?
