Getting started with In Parallel

Written by Topi Järvinen

Set up one focused Workspace, capture one real meeting, and reuse its context in a Workspace page or Chat. You do not need to configure every integration or feature before the first loop is useful.

Plan about 30 minutes for setup, plus the meeting itself.

What you'll do

  • Connect the calendar that contains your work meetings.

  • Create one focused Workspace.

  • Connect an upcoming meeting and control whether the Recorder joins.

  • Review the meeting's Notes, Transcript, and Actions.

  • Continue from Home, a maintained Workspace page, or Chat.

  • Choose only the notifications that help you keep up.

Step 1 — Open Home

Sign in to In Parallel and select Home in the navigation.

Home is now your personal Chat starting point. Use Ask anything to begin, choose a suggested request such as Morning brief, or select Add context before sending when the answer should use a particular Workspace or meeting.

Home overview

Cards, List and Waiting for you

Use Cards or List to browse Workspaces, Past meetings, Topics, and Waiting for you. Open a section link for its full list.

Until you finish onboarding, Home also shows Getting started: steps to connect your calendar (Google Calendar or Microsoft Outlook), set up your first Workspace, and check your next meetings, plus extras: connecting Zoom (needed if your meetings use Zoom), and optionally Slack and an intro with the In Parallel team. The steps in this guide cover the same ground. Select Dismiss to fold the section into an Onboarding bar, and Continue to open it again.

The setup steps below give In Parallel one coherent Workspace and meeting to use as context.

Step 2 — Connect your calendar

Open Settings → Personal → Integrations, then connect Google Calendar or Outlook Calendar.

If you skipped calendar access at sign-in, you can also select Connect in the Your next meetings step of Getting started on Home.

Use the calendar that contains the meetings you want to see in In Parallel. Complete the provider's authorization flow and confirm the integration shows Connected.

Calendar access lets Meetings show your schedule and gives you control over which sessions the Recorder joins. Follow your organization's recording, consent, and retention policy before enabling automatic capture.

Step 3 — Create one focused Workspace

Expand Workspaces in the navigation and select Add workspace.

Use a clear name and a short description of the responsibility the Workspace covers. A good first Workspace is one team, project, program, operation, account, or mission with a coherent owner and meeting cadence.

If two streams have different owners, access needs, or success measures, create separate Workspaces. Add only the members and context needed for the first meeting.

After creation, select the Workspace beneath Workspaces. Its Home shows maintained pages as tiles; select Pages & meetings → to browse the full library.

Step 4 — Connect an upcoming meeting

Open Meetings, select an upcoming meeting, then use Publish to and choose the Workspace.

Choose only the Workspaces the meeting concerns. A broad association can make later Notes, observations, pages, and briefings noisy.

Return to the Meetings timeline and check that the meeting shows Recorder invited. Leave it off when participants have not been informed or the meeting should not be captured.

Step 5 — Run the meeting normally

Confirm the Recorder is invited before the meeting, then run the conversation as you normally would.

State important decisions, ownership, and dates clearly. The Recorder can capture source material, but it cannot repair an ambiguous commitment or decide what participants meant.

After the meeting, wait for processing to finish. If no result appears, confirm that the Recorder joined successfully before changing other settings.

Step 6 — Review Notes, Transcript, and Actions

Open the processed meeting and review each available tab.

  • Notes is the readable meeting output.

  • Transcript is the source wording when a transcript is available.

  • Actions contains reviewable follow-ups prepared from this meeting.

Check names, decisions, commitments, dates, and other consequential details against what participants agreed. Treat AI-prepared wording as a proposal.

Open Actions → Workspace updates to review proposed changes for the intended Workspace before selecting Publish. The meeting-notes email can suggest the Workspace, or you can map it manually with Publish to in the meeting details.

Step 7 — Reuse the context in a page or Chat

Open a maintained Workspace page, then choose Ask about this page or Send to AI when you have a concrete next step.

Workspace pages hold durable narrative such as a Charter, Decision Log, Retro Log, Runbook, or Opportunities page. About this page explains what a page is for and which source context maintains it.

Empty contextual composer

Use Ask about this page to open the contextual composer, check its visible Workspace context, and ask your question. Use Send to AI when you want to continue the page or meeting context in a supported AI client. Review any proposed edit or external action before it is applied.

If the Workspace does not have a useful page yet, open Settings → [Workspace] → Pages, select Manage pages, then choose a page type that solves a real continuity problem. You can also open Home, select Add context, and add the Workspace to a new conversation.

Step 8 — Choose notification delivery

Open Settings and configure only the personal or Workspace notifications you need.

  • Settings → Personal → Notifications controls talking points and post-meeting Notes, plus the delivery time for the personal Daily Digest.

  • Settings → [Workspace] → Notifications contains the Briefs card for scheduling, length, and delivery.

Briefings look forward at what needs attention. For Slack or Microsoft Teams channel copies, also review Deliver briefs to channels under Workspace → Integrations.

You're ready when

  • [ ] Your calendar is connected.

  • [ ] One focused Workspace exists with the right members.

  • [ ] Participants know when the Recorder will join.

  • [ ] One meeting is connected to the Workspace.

  • [ ] You can find the meeting's Notes, Transcript, or Actions after processing.

  • [ ] You have followed a source or reused the context in a Workspace page or Chat.

  • [ ] Notification delivery matches how you want to keep up.

The goal is not to complete every configuration screen. The first loop is working when people and AI can return to the same maintained context without reconstructing the meeting from memory.
